Welcome to Des Johns Swim. Our Terms & Conditions applicable to our participants, family and friends are as follows. Please note that these terms may be updated from time to time. Should changes occur, we will notify you via email and through the SimplyPortal App.
We offer support and guidance should you require any clarification of the Terms & Conditions and welcome you to reach out to a Team Member or contact us.
We encourage you to be on time for your lesson so you and/or your child are well prepared. Parking facilities are provided Off-Street and we ask you to enter the carpark carefully being mindful that children and their families may be entering and exiting the premises.
At Des Johns, we take great pride in maintaining a child-focused facility and prioritise ensuring a safe and positive space for all our attendees.
We uphold a standard of respectful and courteous behaviour at all times. Should any attendee fail to adhere to these standards, entry may be denied, or services may be terminated.
We’re excited to have you and your child at our Swim Centre! For a smooth and safe experience, please keep an eye on your little one at all times.

We kindly ask that you wait for the instructor’s signal before letting your child enter the water. We’re committed to keeping your child safe and secure.
Complete our online assessment, and we’ll quickly get in touch to provide you with the right class level and available times.
Once our assessment is complete we will email you with our recommended Program Level, enrolment process, and availability.
Simply choose an enrolment time and we will enrol you or your child and provide user-friendly guide to SimplyPortal App or Online Portal.

Enrolments can be managed in the SimplyPortal App or Online Portal by following the Quick and Easy Instructions below to get started.
To update, change or manage your enrolment details, please use the SimplyPortal app or Online Portal. While we strongly recommend using the app and portal, please contact our team to assist you if you need any support or guidance.
Our lessons are available year-round, and your enrolment will remain active until you notify us of any changes to your enrolment day or time.
If you wish to permanently cancel your enrolment, a 2 week notice period for each class booking applies. Please refer to our Cancellation policy below and complete the Cancellation Notice Form available on our website.

SimplyPortal helps you manage Enrolments, Attendance, Makeup classes, Payments, and much more with ease.
Here’s how to get started in four simple steps:
- Download the SimplyPortal app from your app store.
- Find Your Center: Tap “Find Center Near Me” and enter our location code: b1101625
- Log In: Use your Family Portal email address and password.
- Enable Notifications (Recommended)
Alternatively you can manage your Enrolment by registering to use the online portal at https://b1101625.family-portal.com.au/
Our make-up policy is designed to be as flexible and convenient as possible for you and your family. We are pleased to offer unlimited makeup classes for the whole family. If you have any questions, don’t hesitate to ask.
Accrual & Redemption of Make-Up Classes:
- Makeup classes are accrued and a 90 day period applies for each cancelled attendance to be redeemed.
- To qualify for a make-up class you can cancel attendance in the SimplyPortal App or Simply Swim Family Portal 2 hours before class starts.
- Makeup classes can be Redeemed through the App or online Portal 7 days in advance.
- Makeups are provided for the child who missed the class only and are not transferable to other family members or participants.
- Redemption of makeups before cancelling enrolment(s) is recommended. Makeups which have not been redeemed are forfeited after cancelling
- Missed classes without notification and makeups lessons cannot be rescheduled

Your child’s lessons will continue seamlessly until we receive a cancellation request from you.
We kindly ask that you submit your request with a 2 week notice period. The 2 week notice period is required per lesson enrolment for each child (eg if swimming 2 days per week, ie Tuesday and Thursday both days will each need to provide 2 weeks notice which is equivalent to 2 lessons per enrolment after cancellation is submitted).
To cancel, simply submit a completed Cancellation Form via our website. A confirmation of your notice with be sent through via email or through Notifications on the App.
Your child’s enrolment will continue until the expiration of 2 week notice period. Cancellation may result in direct debits being charged on pro-rata calculations until notice period expires.
At Des Johns Swim, we provide an easy, hassle-free automated direct debit system for all lesson payments. In addition, Prepayment and Swim Start Vouchers are also accepted and we have outlined process below.
Payment Schedule
Payments for lessons are made in advance each fortnight. Statement of Accounts will be issued via email for each billing period. To begin, any initial payments for pro-rata classes should be completed once enrolment has been confirmed. Initial payments are appreciated within 24 hours of enrolment confirmation to ensure your enrolment position is secure.
Moving forward, to ensure a smooth and manageable experience, lesson charges are scheduled every two weeks on 1st & 15th of each month. This regular schedule helps you maintain your spot in our program seamlessly.
We kindly ask for payments to be made regardless of attendance. This policy helps us guarantee your place in the program and ensures you continue to benefit from our consistent learning environment.
If you’d like to make a full pre-payment on your account before direct debits are processed, it’s easy! You can do it via SimplyPortal App or Online Portal using your debit or credit card. Alternatively, you can Upload a Swim Start Voucher here before cut-off times.
Fortnightly Direct debits will continue to remain in place and where partial pre-payments are made on fees owing the Direct debit amount will simply be calculated on the balance owing.
Setting Up Direct Debit
- Getting started is easy! Simply jump into our SimplyPortal app Online Portal and enter your preferred payment method—either a credit card or bank account.
- View/Update and Manage Direct Debits and follow guided Agreement Setup
Direct Debit times: 1st & 15th of each month.
Cut-off times for pre-payments prior to Direct Debit: 9am day prior
Cut-off times for Swim Start Vouchers prior to Direct Debit: 2 days prior to direct debit
Note: All pre-payments and Vouchers received after cut-off times will be credited to the relevant account. Pre-payments (made prior to direct debit transaction cut off dates) can be made via the Portal.

Fees and charges
- Payments will be smoothly handled through direct debit from your debit/credit card or bank account. To begin, any initial payments for pro-rata classes should be completed once enrolment has been confirmed. Initial payments are appreciated within 24 hours of enrolment confirmation to ensure your enrolment position is secure.
- There will be no class fees charged on scheduled public holidays, or during the annual Easter, Christmas & New Year breaks, or unforeseen closures.
- If a direct debit isn’t successful, a $10.00 fee may be applied.
- Initial card setup (once only) and small secure debit fee will be added to each fortnightly debit.
We aim to keep fees and charges minimal but keep our payment process seamless and secure.
- Direct debit – Initial setup (once only)– per Card setup 88c.
- Visa Debit/Credit card – 34c per transaction
- Direct Bank transfer – 88c per transaction
- Credit card surcharges will apply. To avoid these additional charges, we recommend using your bank details for your direct debits
Payment Assurance
- Payments are due regardless of attendance at the enrolled class. Make-up classes are a great way to ensure you don’t miss out on any lessons.
- If a direct debit fails, no worries! We’ll retry charging your payment method the following day. Should this be unsuccessful, we kindly ask that you settle any outstanding amounts before your next class.
- Accounts that are overdue by more than 7 days may face temporary suspension or cancellation until the balance is cleared. We’re here to help, so please reach out if you need assistance.
We’re thrilled to announce that we are a registered Swim Start Activity provider! This means eligible parents, carers, and guardians can apply for a voucher valued up to $150 for their child. The voucher can be used towards swimming lessons with us, a registered Swim Start provider.
Once you have received your voucher you can upload your vouchers here via our website or print and hand to us at your next lesson.

All Swim Start Vouchers must be received 2 days prior to Direct Debit cut off dates.

Our goal is to offer the best facilities, services, and programs for you and your family.
Our Accelerated Learning Discount provides a 10% discount to additional lessons per week per swimmer.
- Our fees may be subject to annual review. We promise to give you at least 4 weeks’ notice in writing of any updates to our fee schedules. This may include via email or notifications in our App.
Your child’s lessons will continue seamlessly and we understand there will be times you may need to miss a class or cancel.
While missed classes are non-refundable, we provide the opportunity for make-up classes. Just let us know in advance via SimplyPortal App or online portal in accordance with our Makeup Policy, and we’ll be happy to accommodate your needs.
We kindly ask that you let us know as soon as possible if there are any changes to your child’s enrolment(s).
Please note that direct debits will continue unless we receive a cancellation notice. Cancellation notice can be submitted here. Note: Without this notice, any fees charged will unfortunately not be refundable or transferable. (Refer to T & C’s)
- To help keep your enrolment, we encourage you to review our Splash-Free Hold and Secure option if a short break is required without payment.

- Additionally, if a class enrolment is cancelled, any related make-up classes will no longer be available.
Our Splash Free Hold & Secure lesson option offers you the flexibility to take a short break for up to 4 weeks each calendar year without losing your spot.
You can choose to take these Splash-free Hold & Secure periods in convenient blocks of either 2 or 4 weeks. This option is designed to support your time away due to illness, vacations, or lifestyle opportunities, ensuring you don’t lose your reserved day and booking time.

How to Request a Hold:
- Complete and submit Splash-free Hold & Secure form 7 days before your next direct debit or hold period takes place
- If you experience an injury or illness, we’re here to help. You can place your account on hold effective from the date you submit this form. Simply provide a medical certificate, which can be emailed to us at enquiry@desjohns.com.au.
- While refunds and credits aren’t provided if you miss the deadline, we are committed to offering makeup classes in line with our makeup policy, making it convenient for you to catch up.
Once form has been submitted one of our Des Johns Swim team members will soon be in touch to confirm your Splash-free hold & Secure details, making sure your experience is as seamless as possible.
We’re dedicated to maintaining a clean and safe environment for everyone to enjoy. To ensure everyone stays healthy and happy, we have a few friendly reminders:
Swim Caps & Goggles
If your child has long hair, please have them wear a swim cap before they splash in. It helps keep the water clean and their hair tangle-free.
We highly encourage wearing goggles for a safer and more enjoyable experience!
Both Caps & Goggles are available for purchase when you visit Des Johns Swim.
Swim Nappies
For our youngest swimmers (under 3 years old), please ensure they’re wearing a swim nappy during lessons.
Feeling Under the Weather?
If you or your little one aren’t feeling well, rest up at home and join us once they are feeling better.
Capturing Special Moments
At Des Johns Swim, we love capturing those unforgettable moments between you and your child during their lessons. Celebrating their achievements and interactions is a big part of what we do, and we want to create lasting memories for everyone.
Your Preference Matters
We understand and respect your preferences. If you’d rather not be included in our photos or videos, simply update your consent preferences on the SimplyPortal App or via the Online Portal at registration. You can adjust your settings anytime, and we’ll always do our utmost to honour your request and avoid capturing your child in these moments.
How We Use the Images
The memories we capture might be featured in our marketing materials, social media campaigns, or used for training and development purposes. Rest assured, Des Johns Swim retains all rights to the images, and we use them with care and respect.
Capturing Your Own Memories
We understand how much you treasure taking photos and videos of your children. When doing so, please be mindful to respect the privacy of others by avoiding including them in your shots, we appreciate if you ask first.
Strictly no photography in or near changing room areas.
